Vizzcast Studio Terms & Conditions

Podcasting

These Terms and Conditions (“Terms”) govern all studio and podcasting services provided by Vizzcast LLC (“Vizzcast,” “we,” or “us”).

By booking, paying for, or using the studio or related services, the Client (“Client”) agrees to these Terms.


 

1. Booking and Payment

  • A booking is confirmed once full payment has cleared.

  • Quotes or calendar holds are not guarantees.

  • Payment is due at least 24 hours before the session start.

  • Unpaid sessions may be cancelled.

  • Rates are as listed on our booking platform at the time of purchase. Taxes and fees may apply.

  • A card on file or deposit may be required for damages, overtime, or extra charges.

  • Invoice terms may be offered at Vizzcast’s discretion.

  • Overdue balances incur a 5% late fee every 14 days.


2. Cancellations and Rescheduling

  • 48+ hours before session: full refund.

  • 24–48 hours before session: reschedule permitted, no refund.

  • Less than 24 hours: non-refundable, considered a late cancellation.

  • Rescheduling is limited to one change per booking and subject to availability.

  • Sessions begin and end at the booked times; late arrivals do not extend the session.

  • If Vizzcast cancels, the client may choose a refund or reschedule.


3. Session Timing and Overtime

  • Booked time includes setup, recording, and wrap-up.

  • Staff may call session end to allow turnover for the next booking.

  • Overtime is billed in hourly blocks, requires staff approval, and is not guaranteed.


4. Studio Rules and Conduct

  • Only scheduled guests may attend; capacity limits apply.

  • Beverages are allowed. Food requires advance approval.

  • Alcohol, drugs, smoking, and vaping are not permitted.

  • Clients and guests must behave professionally and respectfully. Misconduct may result in removal without refund.

  • Pets are not permitted unless pre-approved (service animals permitted by law).

  • Casual BTS photos or short smartphone videos are permitted.

  • Use of DSLRs, mirrorless, or professional cameras requires written approval. For professional BTS, book Vizzcast’s in-house services.


5. Equipment and Staff

  • Studio equipment must be used as directed. Report issues immediately.

  • No outside recording gear, cameras, or operators without prior approval. Unauthorized use may result in session termination without refund.

  • Clients are financially responsible for any damage to equipment, furniture, or facilities caused during their booking.


6. File Delivery and Storage

  • Raw files are typically delivered within 24–48 hours.

  • 7 days of cloud storage is included.

  • After 7 days, files may be deleted.

  • Extended storage available as an Add-On ($75/month per session).

  • Clients are responsible for downloading and backing up files.

  • Vizzcast is not responsible for expired links or deleted files.


7. Packages and Bundles

  • Packages must be booked in advance and are non-refundable once purchased.

  • Packages must be used within their validity period (2–3 months).

  • Unused hours expire unless a new package is purchased within 14 days of expiry (max one carry-forward).

  • Packages may not be split, shared, or transferred without written approval.


8. Add-On Services

  • Add-Ons may include: cameras, remote guest integration, teleprompter, technical engineer, live ISO switching, editing, promo trailers, social clips, subtitles, rush delivery, storage, co-working space, portraits, or photography.

  • Add-Ons must be booked and paid in advance. Same-day requests are subject to availability and rush fees.

  • Add-Ons are non-refundable once the session begins.

  • Delivery timelines may shift depending on client responsiveness (approvals, timestamps, logo submissions).

  • All photography and videography must be arranged through Vizzcast. Outside operators are not permitted.


9. Technical Failures

  • Vizzcast guarantees professional-grade equipment and staff oversight.

  • In rare cases of equipment failure, liability is limited to rebooking or refunding the studio fee.

  • Vizzcast is not responsible for failures caused by client equipment, external drives, third-party platforms (Zoom, Riverside, etc.), or unstable internet.


10. Client Content and Approvals

  • Clients must provide all necessary assets for editing (logos, timestamps, notes) on time.

  • Delays may extend delivery timelines.

  • Drafts not reviewed within 48 hours are considered approved.

  • Subtitles are delivered as-is unless proofreading is purchased.


11. Intellectual Property

  • Upon full payment, all recorded content belongs to the client.

  • Vizzcast may use behind-the-scenes clips or images for marketing with credit unless the client opts out in writing before the session.

  • All branding, studio designs, and internal processes remain the property of Vizzcast.


12. Liability and Indemnification

  • Vizzcast is not responsible for lost, stolen, or damaged personal items.

  • Clients are responsible for damages or injuries caused by themselves or their guests.

  • Clients agree to indemnify Vizzcast against claims, damages, or expenses arising from their activities, content, or breach of these Terms.

  • Vizzcast’s total liability is limited to the booking fee paid.


13. Health and Safety

  • Vizzcast may refuse entry or remove individuals who pose a safety risk, display disruptive behavior, or fail to comply with staff.

  • Clients are responsible for ensuring guest compliance with safety policies.


14. Force Majeure

  • Vizzcast is not liable for cancellations or interruptions caused by events beyond its control (natural disasters, power outages, government restrictions).

  • In such cases, rescheduling will be offered as the sole remedy.


15. Noise and Disruption

  • Vizzcast has installed acoustic treatments, professional microphones, and advanced processing to reduce outside noise.

  • Complete sound isolation cannot be guaranteed.


16. Termination and Blacklisting

  • Vizzcast may immediately terminate a session without refund for unsafe conditions, misconduct, or violations of these Terms.

  • Vizzcast reserves the right to refuse future bookings to clients who repeatedly violate policies, fail to pay, or abuse staff.


17. Changes to Terms

  • Vizzcast may update these Terms at any time.

  • The version in effect at the time of booking applies to that booking.

  • Continued use of the studio constitutes acceptance of updated Terms.

Studio Hire

Effective Date: 09.18.2025

These Terms apply when Clients rent the Vizzcast studio space for dry hire (studio only, without bundled podcast services). While the space is rented primarily, a Vizzcast staff member will always be present to oversee access, ensure compliance with policies, and assist with basic facility matters. By booking, paying for, or using the studio under dry hire, the Client agrees to these Terms.


 

1. Studio Access

  • The studio operates by appointment and is open 24/7.

  • Rental time begins at the scheduled start and ends when all clients and belongings have exited.

  • Late arrival does not extend the booking.


2. Session Timing

  • Clients must vacate the studio promptly at the end of the rental.

  • Delays are billed at $25 per 5 minutes.

  • If no booking follows, staff may allow a 5-minute grace period. After that, an additional full hour will be charged.

  • Leaving early does not qualify for reimbursement.

  • The minimum booking length is 4 hours. Extensions may be available if no slot is booked after your session.


3. Capacity

  • Maximum capacity is 10 people.

  • Larger groups must be approved in advance and may incur additional fees.


4. Equipment and Furniture

  • All equipment and furniture must be checked with staff before use.

  • Any issues must be reported immediately. Failure to notify staff may result in liability for damages.


5. Prohibited Activities

The following are not permitted without prior written approval:

  • Smoking, vaping, drugs, or alcohol

  • Open flames (candles, incense, etc.)

  • Glitter, confetti, paint, body oils, powders, or other messy materials

  • Moving furniture outside of designated areas

  • Unsafe, indecent, or disruptive behavior

Violations carry a $250 fine and may result in immediate termination of the booking without refund.


6. Damages and Insurance

  • Clients are responsible for any damage to the studio, equipment, or furnishings.

  • For bookings longer than 8 hours, a Certificate of Insurance (COI) is required.


7. Cleaning and Reset

  • The studio must be left in the same condition it was provided.

  • Trash must be collected and placed in designated bins.

  • Shoots involving debris (feathers, hay, snow, glitter, etc.) must be cleaned within the rental time.

  • Cleaning services can be arranged at a flat rate of $150 if required.

  • Staff will provide a 10-minute warning before the end of the booking, and may enter 5 minutes prior to assist with clean-up.


8. Items Left Behind

  • Items left in the studio will be stored for 7 days.

  • After that, they may be discarded or repurposed.


9. Elevator Policy

  • Heavy items, large cases, and equipment must use the freight elevator.

  • Passenger elevators may not be used for such items. Violation carries a $500 fine.

  • Freight elevator hours: Mon–Fri, 8am–1pm and 2pm–5pm (included).

  • Evenings, weekends, and holidays: $450 per 3-hour block.


10. Responsibility

  • Ignorance of these rules does not exempt clients from responsibility.
